Groupware is a generic term to describe software that enables people to work together electronically to achieve their goals.
Overview
For just $5/user/month (5 user minimum), you can optionally subscribe to our Groupware service, which gives you the ability to share information (contacts, calendars, email folders, tasks) between Outlook users.
Our choice of groupware is Scalix,a product that integrates with Microsoft Outlook and provides many of the same features as Microsoft Exchange, but running on a Biz Server at a fraction of the price.

Scalix provides the following features within Outlook and other supported mail clients:
Contacts
- Create a single, company wide contact list that is always up to date
- Share your contacts with others
Calendars
- Share your personal calendar with others
- Book appointments for others or allow others to schedule appointments on your behalf
- Book boardrooms, resources like laptops, projects, etc.
Other
- Creates "public" folders that everyone can access, useful for sharing emails related to a specific customer or project.
- Manage important company to-do's by assigning Tasks and providing clear direction with less time wasted on low priority items.
System Requirements
- Requires a static IP internet plan from your Internet Service Provider
- Requires a BizPro or BizPlatinum server
Pricing
Scalix is available as an optional upgrade on BizPro servers, is included with BizPlatinum, and is not available for BizStandard.
- $25/month subscription, includes 5 users. Additional users $5 per month.
- Includes maintenance of email server: updates, minor version upgrades (IE 11.2 > 11.3) and anti-spam/virus scanner updates.
- Client installation & configuration extra: Adding email users/aliases, installing Outlook plug-in & importing existing mail.
- All user mail is backed up nightly and added to any existing offsite data backups. Users can be limited to a certain amount of space to reduce data backup requirements.
Administration
Creating/editing users & email addresses on the server
The Scalix Admin Console (SAC) allows you to:
- Create/edit/delete users
- Reset user passwords
- Create unlimited aliases (example:

- Assign quota's to reduce mailbox sizes
- Reindex users' mailboxes on the server, mostly for troubleshooting if needed

Installing & configuring Outlook
After all the users have been defined on the server, the following procedure should be followed to install each workstation:
- Download & install the latest Scalix plug-in for Outlook
- Create a new mail profile (Control Panel > Mail > Add)
- Add as Other/Additional Server Type: Scalix
- Server name: customertag.remotelyyours.com
- User Name: as defined in SAC
- Password: as defined in SAC
- After initial sync has been done, restart Outlook and log in using new profile
- Use File > Import > Import from another program or file > Personal Folder File (.pst) to import your old mail
Accessing Webmail
Sharing Contacts, Calendars, etc.
You can specify folders for sharing either directly in Outlook or using the Webmail interface. Simply right click on the folder you wish to share, choose Properties and go to the Permissions tab.
Connecting to shared items
In Outlook, go to File > Open > Other Users Folder. Choose the name of the person that has shared items, and choose the type of item you wish to connect to. Note that if you do not have permissions to someone else's resources, it will prompt you if you want to ask the user for permission.
Backups
All user mailboxes are automatically backed up each night, and is added to the offsite file backups of the server.
Migration checklist
Use the following checklist to migrate from another email provider to Scalix:
- Obtain domain name registration info, so that you can edit the DNS settings.
- The MX record for the domain will need to point to the WAN IP address of the server.
- DNS changes are disruptive to the business, so usually it is a good idea to do this late on a Friday.
- Login info for old email system. You should write down all email accounts/aliases of the old system so that you can recreate them in Scalix.
- Create users & aliases in Scalix Admin Console
- Export email accounts to .PST (only required if users are not currently using POP3)
- Download and install Scalix Outlook Connector (http://www.remotelyyours.com/toolkit/Email%20Clients/)
- Create new mail profile on Windows workstation, using Scalix as server type
- Start Outlook, wait for Scalix Cache to finish building, then restart Outlook
- Import PST
